Al Afeef is a multi-company group in the United Arab Emirates. Al Jawad Software House built controls into its Odoo system around everyday money: small cash spending, the price at which goods are offered, and cheques that move in and out.
Where the work gets hard
Small cash escapes review. Petty cash is quick to spend and slow to check.
A quote can undercut the cost. A price typed too low can reach a customer before anyone notices.
Cheques have a life of their own. A cheque can be registered, held for collection, cleared or returned, and the books should follow.
What we implemented
Petty cash with approvals
Funds have custodians, and vouchers move from draft through approval to posting, or are rejected or reversed. Approval rules depend on the fund and the type of approver, and neither the requester nor the custodian can approve their own voucher. One limit check covers postings, outgoing payments and bank reconciliation. A bypass group exists, and its use is logged.
Below-cost control
A quotation with a line priced under product cost cannot be saved, sent, printed, shared or confirmed unless the user is in an authorised group. Overrides go through a wizard and are logged in the chatter.
Cheque tracking
Incoming and outgoing cheques move from draft through registered, under collection or issued, to collected or bounced. Cheques print on several UAE bank layouts.

Bilingual documents
Quotations, purchase orders, invoices and delivery notes print in Arabic and English, with the Arabic tax registration number.
How the work gets easier
| The usual way | With the new process |
|---|---|
| Petty cash is reviewed after it is spent | Vouchers need approval first |
| A low price is caught by luck | Odoo blocks it unless someone authorised steps in |
| Cheque status is kept on paper | Every cheque has a visible state |
Overrides are visible, and staff spend their effort on the exceptions.
